Job description

If you have a strong administrative and clerical background with experience working in an environment providing services to children, young people and their families, this could be the ideal job for you. 

You will provide an efficient and effective administrative support to a busy Youth Offending Service based in North London. 

Main duties include: 
• To update and maintain records on YOS electronic case management system (CareWorks)
• To create and maintain Excel spreadsheets for different monitoring and tracking purposes that need to be maintained outside of the case management system.
• To carry out daily administrative duties e.g. post, scanning, faxing and secure emailing relevant documentation between YOS and partner agencies, and dealing with visitors to the building as required.
• To answer telephones promptly, accurately recording and forwarding messages and responding to enquiries
• To ensure maintenance of all relevant office equipment
• To raise orders on the electronic purchasing system for supplies and services as required and ensure that due payments and bills are processed within required timescales
• Pre Court: To prepare, based on the Court List from HMCS Libra Case Management System, all case files for Court, including adjournment sheets, PSR or other reports, breach packs, sentencing and care history, and ensuring that officers attending court are fully prepared with all necessary information and paperwork.
• Post court: Obtaining and recording Court results from HMCS Libra or Xhibit portal, or from direct liaison with other courts or YOTs.
• Sending promptly and securely all out of borough court results to relevant YOT as well as appropriately processing and recording all cases coming to us from other YOTs.

Essential requirements:
• Experience of working in an environment providing services to children, young people and their families or within the criminal justice system
• Administrative and clerical experience in a busy and high pressure environment
• Sound written communication skills demonstrated by confident and accurate use of written English 
• Ability to manage time effectively and to prioritise workload 
• Attention to detail in all aspects of work
• Confident and accurate use of information technology and software programmes, including databases, spread sheets, powerpoint and word processing.
• Ability to operate an electronic case management system and to use that information for basic monitoring and analysis
• Fast accurate typing skills
