Job Description: Attendance and Admissions Officer

Secondary school - Wandsworth - South West London

Job Purpose

To support the Senior Team Links for Attendance and Admissions in monitoring, maintaining and improving school attendance and admissions procedures.

To serve as primary point of contact for all parent enquires regarding attendance and admissions.

To oversee the entire admissions process from initial enquiry to enrolment, ensuring all deadlines and requirements are met.



Duties and Responsibilities



Attendance

  • Responsible for the daily processing of student attendance e.g. entering class registers, lateness, absences, appointments, trips, cover registers etc.
  • Contact Parents/Carers regarding absences within agreed timeframes via school app, telephone, emails, and other written communication to establish reason for absences.
  • Manage parent responses monitoring and following up student attendance and punctuality; updating attendance records accordingly.
  • Report any concerns or safeguarding issues to the relevant staff and Senior Team Member.
  • Liaise daily with the Children Looked After Team at Social Services to monitor and report LAC student attendance.
  • Liaise with Senior Staff and other schools to monitor the attendance of managed move students, alternative provision students, and students on Part-time timetables.
  • Provide attendance reports and certificates as requested by the EWO
  • Produce daily registers for fire evacuation once morning attendance is completed
  • Print and file monthly Official Registration Certificates for inspection by the EWO
  • Manage the "off roll" process for students ensuring LA requirements are met.
  • Liaise with other schools during the off-rolling process
  • Complete and submit weekly LA return for all Leavers.
  • Ensuring "Leaver "student files are sent to the new school.
  • Notify all members of staff regarding "Off Roll" Students
  • Keep an up to date "Off Roll Log" for CP reasons and internal records
  • Liaise regularly with Senior Team Link and EWO to keep up to dated with any changes to Attendance Guidance

Admissions

  • Responsible for managing the admittance and enrolment for In-Year admissions and Primary to Secondary Phase Transition.
  • To work in conjunction with LA to action and monitor new offers, acceptances, and waiting lists, in compliance with safeguarding and statutory admissions requirements.
  • Liaise with Senior Team Link regarding In Year Fair Access Students
  • Ensure all vacancies are filled in a timely manner and liaise with Senior Team Link and Headteacher regarding any unfilled vacancies.
  • Manage all transition activities e.g, liaising with primary/secondary schools, arranging interviews, induction, admissions assessments, uniform appointments, etc
  • Ensure the collation of student information and the accurate set up of student records
  • Compile and present all relevant information for New Intake Tutor Group Meeting
  • Ensure the necessary information is obtained for student timetables, network logins, lunch account logins, biometric scans, new student photo etc.
  • Complete and Submit weekly new Starter return for the LA
  • Request new student files from previous schools
  • Notify all members of staff regarding "On Roll" students
  • Liaise with LA to keep up to date with new changes in Admission procedures

General

  • To deal with student and parent requests and enquiries.
  • Operating the main school switchboard - forwarding calls, messages, and emails to the relevant departments
  • Assist with key office functions, documents needed for Teachers, parent communication requested by SLT
  • In the absence of colleagues, to assist with additional duties that affect the day to day running of the office e.g. assisting with sick students, dealing with lunch enquires, assisting visitors, and handling general post
  • To carry out when necessary any other duties as reasonably requested by the Line Manager or a member of the Senior Team
  • Responsible for complying with confidentiality and data protection policies.
  • Responsible for the understanding and compliance of the health and safety procedures
